Assist in the implementation of efficient office operations within the Special Education department.
Education/Certification:
High school diploma or GED
Some college preferred
Special Knowledge/Skills:
Proficient computer and file maintenance skills
Familiarity with Microsoft Office and Google Suite applications
Effective communication and interpersonal skills
Ability to meet established deadlines, maintain accurate records, and comply with confidentiality requirements
Effective organizational skills with the ability to plan and execute several duties at one time
Effective interaction with others to promote collaboration, positive attitudes, a welcoming atmosphere, and good relations with parents and the community
Basic knowledge of special education terminology, legal requirements, and data systems
Experience:
Minimum of one year of experience in a clerical support or a special education environment preferred
Maintain files for special education students, including data entry, copying, faxing, and filing.
Generate computer reports from District and department databases.
Control quality of documents within eligibility files, both electronic and hardcopy.
Ensure PEIMS data is imported or reported accurately.
Secure translation/interpretation services when needed and confirm services rendered.
Process travel reimbursement and purchase requisitions for the department.
Respond to and direct school-age Child Find referrals to appropriate evaluation staff and maintain Child Find referral records as appropriate.
Respond to record requests from other districts and agencies.
Manage department professional development handouts, courses, and credit.
Monitor Medicaid Random Moment Time Study compliance and submit monthly logs for billing.
Maintain accurate records for state performance plan indicators and private/homeschool reporting.
Answer District department phone and electronic communication, assist with inquiries, and route to the appropriate staff member.
Prepare, send, and retrieve student hard files that are transferred to other campuses or stored in District archives; maintain a log of archived folders.
Locate files and investigate student records to assist staff and others.
Assist FISD staff, other districts, parents, and community members with requests.
Assume responsibility for acquiring the knowledge, skills, and attitudes necessary for fulfilling duties.
