Assist the director in maintaining accurate records for scholarship programs, grant disbursements, volunteers, and partnerships. Maintain accurate accounting of funds and help plan foundation and district events and activities. Coordinate foundation board meetings and board activities.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Some college preferred
Special Knowledge/Skills:
Knowledge of accounting procedures
Proficient in Quick Books
Ability to maintain accurate and auditable records
Ability to use personal computer and software to create spreadsheets, databases, word processing and Power Point presentations
Proficiency in file maintenance and keyboarding
Ability to efficiently track and manage multiple projects
Self-directed and can work to a timeline
Superior communication skills
Website maintenance
Knowledge of Adobe suite
Experience:
Non-profit experience preferred
Minimum of two years of secretarial or administrative support experience preferred
Accept incoming calls, e-mails, and written correspondence and route appropriately.
Promote positive public relations between the foundation, staff, school district, and community.
Create and manage databases and spreadsheets using a personal computer.
Manage donor database software information.
Initiate and maintain records of disbursements and expenditures, retrieve archived files, and compile data for reports.
Manage accounts payable and receivables.
Manage multiple bank accounts.
Prepare reports and documents for monthly board meetings.
Enter requisitions for purchase orders.
Assist in the planning and logistics of events, meetings, and activities.
Assist the Community Outreach Liaison in managing and maintaining Volunteer Tracker Software.
Respond to the needs of departments, campuses, and the community in a timely and courteous manner to resolve problems and inquiries.
Maintain confidential information.
Schedule meetings and appointments and maintain calendars.
Maintain physical and computerized files including inventory of office supplies, mailing lists, and office communications as assigned.
Assist in managing senior scholarship files
Issue scholarship checks to universities on a yearly and as-needed basis
Assist the auditor in the yearly foundation audit and import journal entries.
