Perform clerical tasks related to the efficient maintenance and processing of Accounts Payable.
Education/Certification:
High school diploma or GED required
Some college preferred
College coursework including business, accounting, or bookkeeping experience preferred
Special Knowledge/Skills:
Strong organizational, communication, and interpersonal skills
Knowledge of basic accounts payable and accounting processes
Maintain accurate purchasing and accounts payable records
Ability to use computer and software to develop spreadsheets and do word processing
Ability to work in a multi-task environment
High degree of ethical behavior and confidentiality
Proficient in data entry
Working knowledge of office equipment such as copies, fax, computers, and printers
Experience:
Accounts payable and/or accounting experience preferred
Process weekly accounts payable checks.
Review and verify checks and ACH’s match software reports.
Sort mail on a weekly basis.
Detect and resolve problems with incorrect orders, invoices, and shipments.
Contact district personnel and/or vendors to obtain information and resolve payment issues.
Reconcile vendor statements with accounting software.
Prepare and distribute checks relating to paid invoices in a timely manner, with attachments, if any.
Disburse manual checks to school staff as needed.
Electronically file and process payable records in Laserfiche.
Review, monitor, and submit reports to state for unclaimed property (i.e. stale checks still outstanding).
Perform other duties as requested by the Accounts Payable Supervisor, such as run, monitor, and analyze encumbrance reports; run, monitor and analyze monthly aged accounts payable reports; and work with budget managers to close purchase orders as necessary.
Assist Accounting Department with pulling accounts payable documents for federal fund expenditures.
